Billing

The billing tool streamlines finances, offering filters, clear project details, invoice generation, and easy visualization of shipment statuses. It provides personalized payment control, displaying payments made or pending, making it a comprehensive solution for business financial management. Tutorial Open the menu on the left side of the screen and select "Finance" - "Billing". Filters There are filters to facilitate your searches: - Plants - Period - Customer - Project - Payment Method - Payment Condition Details By clicking on the icon, it is possible to edit or view contract information: Generating an invoice You can generate a billing by selecting the desired invoice and then clicking on the "Generate Billing" button. Status It is also possible to see the status of each delivery/shipment according to the icon displayed on the screen: - Invoices already billed - Cancelled shipments - Product not yet validated. - Unbilled product. Detailing To obtain more detailed information about an invoice, simply click on the number in the "Invoice Number" column. Tab Filters You can use tab filters: open, billed, or cancelled to list the shipments. Delete billing If any billing has been generated incorrectly, you can delete it. To do this, simply click on the invoice number and then on "Delete Billing". Generated Invoices In the invoices tab, you can check all the shipments that have been generated. Day Delivery Closings

The day delivery closings are essential to confirm customer deliveries, access details, add individual notes, and process additional fees. After confirming the deliveries, it is possible to close the day and lock actions, ensuring precise and effective control of materials and services delivered to the customer. Turorial Open the menu on the left side of the screen and select "Finance" - "Day delivery Closings". Details In the details icon, it is possible to access all shipments from a specific plant on a specific date. Here we have all the deliveries/shipments that were made in the selected period. Add Note You can add sales of products or services to the contract through the "Add Note" option: Process Additionals Through the "process additional" button, it is possible to process the fees and additional services of a specific contract: Note: It is also possible to process the additional charges for all contracts by clicking on the "Process Additional" option at the top of the screen: Confirming Pending Notes To generate an invoice, you must select one of the options to confirm pending shipments/deliveries or cancel them. If necessary, you can confirm all pending shipments by clicking the "Confirm Pending Notes" button: CloseDay After confirming all pending shipments, it is possible to close the day through the "close day" option: Reopen Day If necessary, you can reopen the day to make changes to existing contracts. To do this, simply click on the "Reopen Day" option: Lock Day Through the "Lock Day" option, you can lock the edits of deliveries on the specified day: Note: This option will only be available when the day is closed. Price Table

The price table allows you to configure and manage the prices of the products offered by the company. It's an organized structure where products and their respective values are listed, making it easy to check and update price-related information. Add Price Table Open the menu on the left side of the screen and select "Finances" - "Price Tables" The "Add Price Table" button is used to include new products and services, along with their prices, in the list. Adding and Removing Products To add an item or service, simply click on one of the options corresponding to the product type. These options include: - Add Readymix - Add Pump - Add Service - Add Additional If you need to remove a product and/or service, just click on the trash can icon located on the right side of each item. Templates If you wish to use a standard price table template, click on the "Download Price Table Template" option. This template has the basic structure and the necessary fields for product registration, making data entry easier. Import Price Table This functionality allows you to import an existing and filled price table. To do this, click on the "Import Price Table" option and select your table in Excel format. Calculating Prices with Cost Table. The option "Automatically fill Readymix costs based on MCC" is used to automatically calculate the price of your products/services based on a Cost Table. When you use this option, prices will be automatically filled using the raw material costs as a base. Note: Before using this option, make sure you have a formula table linked to the selected plant. If you don't have one, click on the link for the Cost table tutorial. Table Status You can activate or deactivate the created price table by clicking on the "Active or Inactive" option: Note: The price table will not be suggested or used if it is in "Inactive" status. Updating price table To keep a Project always updated, select the checkbox below on the Project screen. This way, any update in the price table reflects directly on the contract to which it is linked, without the need to synchronize again. Note: This configuration needs to be activated for the Company. To ensure flexibility in updating prices, it is possible to synchronize the table with corresponding contracts. Raw Material Cost Table

The Raw Material Cost Table is essential to configure and manage the prices of the company's raw materials. In this organized structure, the raw materials are listed with their corresponding values, facilitating the consultation and updating of prices efficiently. Add a Cost Table Open the menu on the left side of the screen and select "Administration" - "Raw Material Cost Table." First, click on "Add Raw Material Cost Table" complete the required fields, add raw materials, and set the cost for each of them. Remove or Add Raw Materials To remove raw materials, simply click on the trash can icon. If you wish to add more raw materials, use the plus icon. Download Model Table In the "Example Table" option, you will find two choices: a blank table and another one that contains all the registered raw materials in the system. You can download a blank spreadsheet in which you can input the costs of raw materials. Later, this spreadsheet can be used to automatically calculate the product price based on the costs of the raw materials you entered. Import Cost Table You can import data directly from an Excel spreadsheet into the cost table of the system, streamlining the update of prices and product details, ensuring that the information is always up to date and in sync with reality. To do this, simply go to the "Import Cost Table" option and select your spreadsheet. How to use The price list plays a fundamental role in quickly and accurately calculating the costs of products, following their specific formulas. This functionality is evident on the "Formula Table" screen, where, when selecting a cost table, the system automatically calculates the total cost of the product. This ensures efficient management of production costs. We can also view the product recipe and the detailed costs of each raw material used in the formulation. This allows precise control of inputs and the total cost of production, ensuring that all expenses are accounted for correctly to complete the recipe. When adding a formula or configuring cost data, you can select a specific plant through the "Plant" field. This allows costs, margins and other information to be defined and applied to the chosen plant, customizing calculations according to the selected plant. This definition is vitally important, because when a product is selected to create a new contract, the system automatically calculates the cost based on the updated prices of raw materials listed in the cost table. This ensures that production costs are accurately reflected in contracts, providing accurate and efficient financial management. In this example, we observe a product whose price was updated based on the calculation of the product's MCC, using the previously filled cost table. With this tool, it is also possible to view the profit margin on the product, offering a clear and accurate view of profitability.
